Data Protection Policy

The Society will store your membership information securely on our membership database, which is held by our Membership Secretary, after it has been submitted by you upon joining the Society. The Secretary and Treasurer also hold additional membership details for the Society Trustees and Management Committee.

Use of information

            The Society will use your information in the following ways:

  • To process your membership subscription every year 
  • To send you the Society’s publications
  • To email the monthly Newsletters
  • To contact you regarding fundraising

The Society will never pass on your information to third parties except for legitimate reasons where they are used to deliver essential services under ‘Use of Information’ as stated above. Third parties we use are:

  • The Society website to issue the monthly newsletter 
  • The International Register of Pelargonium Cultivars website (only for those who subscribe to this site.) 
  • A printing firm for printing and posting Society publications
  • A financial services company to process Direct Debit subscriptions
  • Minimum information sufficient for HMRC to process Gift Aid claims.

Data Retention

  •  Membership information will be stored by the Society for the duration of the period of membership to enable efficient administration.
  • If a member does not renew their subscription all their membership information will be deleted from Society records after the expiry date.

Accessing your Data

  • A member may change or delete any incorrect information by contacting the Membership Secretary 
  • A member should contact the Membership Secretary if they wish to cancel their membership at any time or stop processing their data.

  Consent

  • A member may withdraw consent to the processing of their personal data within the legitimate grounds outlined above under ‘Use of information’ by contacting the Membership Secretary.
